Office Manager – 35 hours/week

Essential Duties and Responsibilities:
The Office Manager has three main areas of responsibility: client interface, facilities care, and supporting the executive staff.  As the client interface, the Office Manager ensures the phone is answered, the office is open, and that client and counselors schedules are maintained.  Facilities care involves stocking office supplies and managing building maintenance (as needed and assigned).

Specific duties include:

  • Handle incoming calls, messages and new client intakes
  • Schedule clients with staff and assist staff with scheduling changes when possible
  • Order office and building supplies as needed
  • Oversee maintenance and service contracts
  • Supervise billing and account management staff
  • Maintain compliance with all company policies and procedures (HIPAA, confidentiality)
  • Perform other responsibilities as required by your direct supervisor

Required Skills:

  • Excellent verbal and written communication skills, including ability to effectively communicate with staff and clients
  • Willingness to understand and abide by confidentiality requirements
  • A positive attitude and providing exemplary customer service
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practice
